e-Storage, Archeía system
The goal of the project e-Storage is to design and deploy a system that will ensure long-term preservation of electronic records in line with the relevant legal framework, and to connect this system with all court entry registers which are used for keeping records, i.e. procedural documents, in various judiciary areas. A system called Archeía was kick started in the production environment of the judicial IT system in 2020.
The project e-Storage consists of three stages. A system called Archeía was developed in the first stage which was completed in 2020. The system was connected with the EVIP application and the Su court entry register; both systems first needed to be upgraded to meet the requirements of the applicable legal bases. The EVIP application and the Su court entry register now transfer the documents in the Archeía system once the connection is established. The system ensures the validity of all stored records through regulatory compliance and regularly produces backup copies of electronic records. The first stage of the project involved the design of all necessary functionalities that were required by the Rules on uniform technological requirements for capture and storage of documents in digital format. In addition to the document storage, the Archeía system enables efficient records management activities that are usually performed by archivists and records managers (browsing, sorting, deleting, extracting electronic records).
The second and the third stage of the project take place simultaneously. The Archeía system will be certified by the Archives of the Republic of Slovenia; its design will be in full compliance with the relevant legal framework and security standards. This stage is scheduled to be completed by the end of 2021. In the third stage, the system will be optimized and upgraded. It will be connected with the other IT systems used for judicial record keeping. Like the Su court entry register, all court entry registers will need to be upgraded to allow for storage of the procedural documents that are produced during handling of cases in the Archeía system, for access to the records and for any records management activities required during a record’s lifecycle. Archiving rules will also be complied with. The third stage is scheduled to be completed in 2023. The project is implemented as part of a larger project called Efficient Justice.
